Find the example evidence, and know its limits

A useful register makes the item, owner, location, and review trail easy to understand.

The fictional Northstar Services register below shows how a team might index harmless sample materials. A location is an illustrative repository path, not a link to a real tenant. A status describes the register entry's handling, not whether a document establishes compliance or is approved for every use.

For each locally maintained item, record its title, approved storage location, responsible role, last review date, and current handling status. Follow local access and records practices when an item is restricted or contains sensitive information.

When an evidence entry needs attention

What if the listed item is missing or its location no longer works?

Record that the location was checked, mark the entry as needing an update, and route it to the named owner role. Do not silently substitute an unverified copy.

What if the copy may be outdated?

Keep the register entry factual: note the review question and ask the responsible role to confirm the current approved copy. Avoid describing an unconfirmed item as current.

What if access is restricted?

Do not copy restricted material into a general workspace. Record the approved access route and ask the owner or records support to arrange access for authorized participants.
