Classifieds FAQ

Answers to common setup and operating questions about Classifieds.
For what the app is and how to set it up from scratch, see the
Classifieds Overview.

Setup

Do I need to configure anything before employees can start posting?

The app works with its defaults, but two steps come first and two settings are worth a look. Enabling the app makes it visible to admins only: press Publish to users on the app’s page under Admin → Apps when you are ready for employees to see it. Your organization starts with twelve categories (Electronics, Furniture, Vehicles, Books & Media and so on) — there is no page to add, rename or delete categories. Category is required on every listing by default; turn off Require Category under Settings → Posting to make it optional, or list a category’s name under Settings → Moderation → Prohibited Categories to block it. And if you turn on Require Admin Approval, also turn on Email Moderators About Listings Awaiting Approval in the same settings pass. Otherwise listings queue up for approval with no email to anyone.

Who can moderate listings and review reports?

Business admins, super admins, and anyone granted App Admin for Classifieds. App Admins see Pending Approval, Admin Reports, Analytics, and Settings under Admin in the sidebar. They can approve or reject pending listings, act on reports, delete any listing, edit any listing that is live or awaiting approval, and export data.

Permissions and access

Why can’t some employees see the Classifieds app?

Three things must all be true. First, an admin must enable Classifieds from Admin → Apps → All Apps. Second, the app must be published: a newly enabled app is visible to admins only until an admin presses Publish to users on its page (or publishes it to chosen groups). Third, the Enable Classifieds toggle in Classifieds Settings must be on (it defaults to on). If any of these is missing, employees do not get in.

Who can edit or delete another person’s listing?

A business admin, super admin, or Classifieds App Admin can edit any listing that is still active or pending approval. The same roles can delete a listing in any status, and mark an active listing fulfilled. Regular employees can only act on their own listings.

Day-to-day

How many active listings can one person have?

10 by default — counting listings that are live or waiting for approval. You can change it under Settings → Posting → Max Active Listings Per User. When someone hits the limit, the form tells them and blocks the post until they fulfill, delete, or let one expire. Renewing an expired listing counts too: at the limit, Renew on an expired listing is refused until they fulfill or delete one first. Renewing a listing that is still live is not affected.

How long does a listing stay up before it expires?

30 days by default, configurable under Settings → Posting → Auto-expire Listings (days). A nightly job expires overdue listings and sends the poster an email. Seven days before expiry, the poster also gets an expiring-soon email (sent once per expiry cycle).

Can I renew a listing after it expires?

Yes. The owner, a business admin, or an App Admin can press Renew on the listing page or on My Listings — on an expired listing, or one within 7 days of expiring (sooner on boards whose listings last under 25 days: a quarter of the Auto-expire Listings window). Renewing sets it to expire the Auto-expire Listings number of days from today (30 by default), puts an expired listing back on Browse, and resets the expiring-soon notification so the poster gets a fresh warning before the new date. An expired listing coming back counts against the poster’s listing limit, so at the limit it can’t be renewed until they fulfill or delete one first. Ask AI renews your own listings the same way, for the Auto-expire Listings number of days or fewer if you ask for fewer — never more. A listing still waiting for a moderator can’t be renewed; if its days run out while it waits, approving it starts a fresh listing period.

What happens when someone marks a listing as fulfilled?

The listing moves to Fulfilled status and drops out of Browse. Every employee who favorited it gets an in-app notification that it is no longer available. It cannot be reopened afterwards. On the phone, whoever closes it can add an optional note. A moderator can mark someone else’s listing fulfilled; the poster is then told in their inbox.

What notifications does the app send?

Event Who receives it Channel
Listing needs approval Moderators (the configured group, else App Admins, else business admins — only people who can moderate) In-app, plus email (to moderators who have an address) when Email Moderators About Listings Awaiting Approval is on
Listing reported by an employee The same moderators In-app
Listing approved The poster Email + in-app
Listing not approved The poster Email + in-app
Listing removed by a moderator The poster In-app
Listing marked fulfilled by a moderator The poster In-app
Listing edited by a moderator and sent back for approval The poster In-app
Listing expiring soon (7 days before; a quarter of the listing’s life on boards with listings under 25 days) The poster Email + in-app
Listing expired The poster Email + in-app
Price dropped on a favorited listing Everyone who favorited it In-app
Favorited listing marked fulfilled Everyone who favorited it In-app
Saved search has new matches The search owner In-app

Expiring and expired reminders — both the email and the in-app notice — are controlled by the Notify About Expiring Listings setting (on by default). The moderators’ needs-approval email is controlled by Email Moderators About Listings Awaiting Approval (off by default).

How do saved searches work?

An employee saves their current Browse filters (category, type, location, keyword, with photos, free-only) as an alert. A periodic job checks for new listings that match, and notifies the owner in-app. The search can be deleted from the Saved Searches page at any time. Notifications default to on for new saved searches but each search can be toggled individually.

When something looks wrong

Why was my listing sent back for approval after I edited it?

Two things send a live listing back. If Require Admin Approval is on, changing the title, description, or tags of a live listing puts it back in the approval queue (a price, photo, location or contact change does not). And if an admin has configured auto-moderate keywords, editing the title, description, or tags triggers a re-check: when any keyword matches, the listing is pulled back to Pending Approval and flagged for review. Either way the person who saved the edit sees a message that the listing is pending approval, and when a moderator made the edit the poster is told in their inbox.

I can’t post a new listing — it says I’ve reached the limit

Each user is allowed a maximum number of listings that are live or waiting for approval at a time (default 10). Fulfilled, expired, and deleted listings do not count — but renewing an expired listing brings it back into the count, so at the limit Renew on an expired listing is refused too until you fulfill or delete one. Free a slot by fulfilling or deleting an existing listing. Ask your admin if the limit has been lowered from the default.

My listing disappeared from Browse — what happened?

Three things remove a listing from the Browse page. It expired (check your expiry notices — you can renew it from My Listings). An admin deleted it or rejected it from the approval queue. Or auto-moderation re-flagged it after an edit. Check your My Listings page — it shows counts by status, including pending and expired.

My listing was not approved — how do I fix it?

You are told in your inbox (and by email if you have an address on file), with the moderator’s reason if they gave one. A rejected listing cannot be edited — it stays on My Listings under Removed, marked Rejected with any reason. Tap Fix and post again there, or the notice itself: it opens a new listing already holding what you wrote, so you change what needs changing and post it. Photos and videos are not carried over; add them again. If approval is still on, a moderator checks the new listing before it goes live.

I don’t see a “Send interest to seller” button on a listing

That button sends the seller a short message in Messages for you (“Hi, I’m interested in your classified listing …”) and opens the conversation. On a Wanted post it reads Reply to this request and says you may have what they are looking for. It appears only on a listing that is live on Browse, when your organization has Messages turned on, you are allowed to start a conversation with that person and they still work here — and never on your own listings. If you don’t see it, use the contact details on the listing, or ask your admin who may start conversations in Messages.

Moderation

How does keyword auto-moderation work?

Under Settings → Moderation → Auto-moderate Keywords, enter a comma-separated list of keywords. When any keyword appears as a whole word in a listing’s title, description, or tags (case-insensitive — “ass” does not match “class”), the listing is routed to the approval queue instead of going live. The check also runs on edits — if a live listing is edited and the new content matches, it is pulled back to pending approval.

Can I add, rename or delete a category?

No. Your organization starts with twelve categories, and Classifieds has no page to add, rename or delete them. To stop people posting in one, add its name to Settings → Moderation → Prohibited Categories: it drops out of the new-listing form, and existing listings in it stay visible and filterable. To let people post without picking a category at all, turn off Require Category under Settings → Posting.

Licensing and limits

Does Classifieds require a license, and who turns it on?

Yes. Classifieds requires a license and is off by default. An admin enables it from Admin → Apps → All Apps. A newly enabled app is visible to admins only; once an admin presses Publish to users on its page, every employee in the organization can browse and post (or only the groups it was published to).

What are the photo and video limits?

Limit Default Configurable?
Photos per listing 5 Yes
Max photo size 10 MB Yes
Photo formats JPG, JPEG, PNG, GIF Yes
Videos per listing 1 Yes
Max video size 100 MB Yes
Video formats MP4, MOV, AVI Yes

All of these are editable under Settings → Media. The poster sees a validation error at upload time if a file exceeds the size or format limit.

What currencies and price limits are supported?

A new listing starts in your organization’s currency, and the poster can pick another from a list of sixteen common currencies (USD, EUR, GBP, CAD, AUD, INR, JPY and others). The maximum price is 99,999,999.99. For Free / Giveaway and Wanted / Request listing types, price is forced to zero automatically.
