SOP Hub
Create, manage, and track Standard Operating Procedures with step-by-step guidance and completion tracking.
Meet the agent
This app ships with a production AI agent — permission-aware, tenant-scoped, audit-logged, and governed by the Agent Development Lifecycle.
SOP Hub AI
Live SOPs with AI summaries and multilingual translation.
Overview
OneMango SOP Hub turns a procedure into steps someone can actually follow at the workstation, not a PDF nobody opens. Each step carries its own instructions and a time estimate, a procedure (or any one of its steps) can require sign-off on the finished completion, and a QR code posted at the equipment opens the right procedure on a phone.
It tracks who has completed each SOP, re-opens it automatically on a schedule or whenever the steps change, lets a SOP Hub admin send a completion back to be redone, and reminds people who fall behind. An opt-in offline mode keeps a procedure already opened by QR code, or started in the phone app, usable and its step completions recorded when a connection drops, sending them once it's back online.
Ask AI drafts a first version from a plain-language description or an uploaded PDF or Word document, so authors start from something instead of a blank page — a person still reviews and publishes it. Procedures can be translated into 15 languages, bundled into a branded procedure manual, and linked to specific equipment through Asset Pro.
Author step-by-step procedures with time estimates and optional sign-off, assign them for mandatory completion with automatic re-certification, and open the right procedure at the machine from a posted QR code.
Highlights
Capabilities
SOP Authoring
-
Step builder — instructions, time estimate, and image/video link per step
-
Per-step verification flag — a flagged step makes the completion need sign-off
-
14 SOP types (safety, quality, operations, maintenance, equipment, food safety, and more)
-
Categories and difficulty levels (beginner, intermediate, advanced)
-
Tags and applicable-role labels for discovery
-
Automatic total-duration rollup from per-step time estimates
-
Start from a system or custom template library, or duplicate an existing SOP
-
AI drafts a complete SOP from a plain-language description, or an imported PDF/Word document
Versioning & Change Control
-
Automatic version snapshot on every edit to a published SOP
-
Full version history — who made each change, and when
-
Side-by-side version comparison with a rendered diff
-
Restore an earlier version's title, description and steps On a published SOP the restore is saved as a new version, and if the steps differ, people who completed it redo it just as after an edit.
-
Draft → Published lifecycle, with Archived and Retired withdrawal states Archived is a pause — Reactivate as Draft brings an archived SOP back to draft to re-publish it. Retiring withdraws a SOP: nobody is asked to complete it again, its QR labels say it is no longer in use, and its records are kept. Reactivate as Draft brings it back if you retire one by mistake. A SOP can be deleted only when it is not published, not retired, and nobody has a completion record for it.
-
Unpublish back to draft without losing version history
Completion & Re-Certification
-
Assign SOPs for mandatory completion tracking
-
Step-by-step completion with live progress percentage
-
Sign-off of employee completions by a SOP Hub admin The request goes to one person: the employee's manager or the procedure's author when they manage SOP Hub, otherwise an administrator.
-
Configurable re-certification (validity) period per SOP
-
Automatic re-completion trigger when SOP steps change Editing the steps, or restoring a version with different steps, re-opens every completion with 30 days to redo it, or the SOP's re-completion period if that is shorter.
-
Send a completion back with a reason to have it redone A SOP Hub admin reviewing a completion can send it back instead of signing it off; the employee is told why and completes it again.
-
Overdue detection with capped automated email reminders
-
Each completion records whether it was worked from a QR scan Kept on the completion record for audit and shown in the completions export (Recorded through).
-
Compliance report with per-SOP completion rates and CSV export
-
Read-and-understood attestation before a completion can be submitted Optional per SOP. The employee must tick "I have read and understood this procedure" before the completion can be submitted, and the attestation is stored with its timestamp, IP address, and device against the SOP version they completed.
Distribution & Frontline Access
-
Assign by department, location, or group — or broadcast to all employees
-
Printable QR code per SOP (PNG and SVG) for equipment and signage
-
Public share link via a unique per-SOP access token Reset public link issues a new one; the old link stops working.
-
Opt-in offline mode — a procedure opened from its QR code, or started in the phone app, keeps working when signal drops; step completions are sent on reconnect Opening a procedure needs a connection.
-
Procedure manuals — bundle SOPs with chapters and custom sections into a browsable guide
-
Public procedure-manual URL by token or custom slug
-
PDF export for individual SOPs and full procedure manuals
-
Branded PDF theming (logo, colors) via Document Themes

Semantic (meaning-based) SOP search powered by embeddings
Integrations
-
Training Connect — require a course before an SOP can be started or completed Linked from the SOP page by a SOP Hub author, and enforced server-side on every completion surface — desktop, mobile, and QR scan.
-
Training Connect — credit an SOP completion toward a linked course The credit is recorded on the employee's enrollment record for that course; it does not mark the course itself complete.
-
Asset Pro — attach SOPs to a specific asset
-
Microsoft Word add-in — search and insert published SOPs while authoring in Word

FAQ
Each SOP is a sequence of steps, and every step carries its own instructions, an optional time estimate, and an image or video link. Any step can be flagged for verification, which makes the whole completion need sign-off by a SOP Hub admin after the employee submits it. SOPs also carry a type (14 are available, from safety to food safety), a category, a difficulty level, tags, and applicable-role labels for discovery, and the per-step time estimates roll up automatically into a total duration.
An SOP is a single procedure with step-by-step instructions and its own completion tracking. A procedure manual bundles multiple SOPs — plus chapter headers and custom sections — into one published, browsable guide with a table of contents that you can export to a branded PDF or share at a public URL.
Mark an SOP as requiring completion and it is assigned to its target audience. Employees complete it step by step, and you can require sign-off by a SOP Hub admin. Set a validity period to have completions re-open on a schedule, and whenever you change a published SOP's steps — by editing them or restoring an earlier version — everyone who already completed it is automatically flagged for re-completion. A SOP Hub admin can also send a completion back with a reason to have it redone. Outstanding completions receive automated reminders, capped at five per person.
Every SOP has a unique QR code you can download as a PNG or SVG and post near equipment or on signage. Scanning it opens the procedure instantly. With offline mode enabled, a procedure a worker has already opened by QR code — or started in the phone app, where emails and notifications open it — keeps working if signal drops, and step completions are sent when they reconnect. Opening a procedure needs a connection.
Yes. SOP Hub can AI-translate a procedure into 15 languages, including its steps, and you can bulk-translate into several languages at once. Each translation shows a structural completeness check (every step translated — not a measure of accuracy), and a human can review and verify it. If you later change the source SOP, its translations are flagged as stale so they can be refreshed.
Through Asset Pro, yes — attach an SOP to a specific asset, and anyone viewing that asset sees its linked procedures and their own completion status. SOPs also link to Training Connect courses from the SOP page: require a course before the SOP can be started or completed, recommend one alongside it, or credit the SOP completion toward the course. A Microsoft Word add-in lets authors search for and insert published SOPs while writing in Word.
SOP Hub requires a license and is opt-in per tenant — an administrator turns it on from Admin → Apps → All Apps, and it is disabled by default until then. If your organization is not licensed for it yet, the message there says how to add it to your plan.
The difference is what the artifact is and what the worker does with it. SOP Hub is for operational how-to procedures: step-by-step instructions people execute at the workstation, with per-step completion, optional sign-off, QR access, and re-certification. Policy Hub is for policy documents people read and acknowledge, with handbooks, jurisdiction scoping, and acknowledgment campaigns. Both can require an attestation — SOP Hub records a read-and-understood attestation on completion when you turn it on for an SOP — so use SOP Hub when someone has to perform steps and you need evidence the steps were done, and Policy Hub when someone has to read a document and you need evidence it was read.
