Onboarding Hub
Structured new hire onboarding with tasks and document collection.
Overview
Onboarding Hub reads the same hire record OneMango already has: once an admin turns on plan creation on hire, a Job Board candidate marked hired gets their onboarding plan automatically, with no re-keying into a separate tool. It also resolves the template itself — scoring every active template by role, department, and location and applying the most specific match, rather than leaving a coordinator to guess.
A token-secured preboarding portal gives the new hire access before day one, with tasks split across new hire, manager, mentor, buddy, HR, and IT, and documents routed through the platform's own e-signature flow into HR Files. An I-9 dashboard then tracks completion, expiring work authorizations, and pending reverifications per employee.
For a brand-new role, AI can draft a 30/60/90-day plan — tasks, checkpoints, and required documents — from a title and level; it saves as an inactive template for an admin to review, never as a live plan.
Tour of Onboarding Hub — building role-based onboarding plans from templates, assigning tasks across new hire, hiring manager, mentor, and buddy, preboarding portals, document collection, and automated reminders that keep every new hire on track.

FAQ
Onboarding Hub is pay-as-you-go: there's no license to buy, and each new hire's onboarding journey draws platform credits — the rate is on the Credits page of Billing & Payments. Internal moves (promotions, transfers, new leaders) don't count. It's disabled by default and enabled per business from the Apps Marketplace, so each tenant opts in when they're ready — nothing is pushed on automatically.
Yes. Admins build templates scoped by template type, role level, department, and location. When a new hire starts, the auto-matcher scores every active template by role × department × location and applies the most-specific match — a senior engineering template at a specific site beats a generic any-role template.
Yes. A token-secured preboarding portal gives new hires early access to content, forms, and documents before Day 1, and a scheduled preboarding email campaign reaches them at their personal email address. An admin can also have preboarding plans go live automatically on the start date.
Every plan can name a mentor and a buddy, and each triggers its own assignment notification. Mentor and Buddy ship as seeded relationship types, and admins can add custom relationship types (for example a Technical Sponsor) to fit their program.
Yes. Tasks can be assigned to the new hire, hiring manager, mentor, buddy, HR team, IT team, or admin, each with a day-offset due date. Group-based expansion creates one task per group member so every stakeholder owns their piece.
Yes. New hires get a mobile-optimized experience for their onboarding tasks, documents, forms, and checkpoints, and the desktop and mobile views stay paired so links open the right surface automatically.
Each business sets its own reminder schedule for forms and documents (7-day, 3-day, on-due-date, or daily-after-overdue triggers), with a low-noise default. On top of that: overdue alerts to the hiring manager (at most weekly per plan), next-day checkpoint reminders, a weekly Monday digest for hiring managers, and plan/mentor/buddy/verification notifications — all gated by per-type toggles and a master switch.
Onboarding Hub monitors I-9 completion, flags work authorizations expiring soon, and surfaces employees pending reverification. Admins configure regional compliance requirements per location and use a compliance library with automatic, location-based requirement analysis. Automated E-Verify case submission is on the roadmap; I-9 tracking is live today.
Onboarding Hub covers the new-hire journey — preboarding, first-day-and-beyond tasks, documents, and compliance. Offboarding is a separate app for structured, compliant employee departures. Training is the native LMS; Onboarding Hub assigns Training courses as onboarding tasks rather than authoring the courses itself.
