Background Checks Without The Provider Portal Hunt
Order a candidate's background check, watch it move, and act on the results without hunting through provider portals — the whole paper trail stays next to the rest of your hiring pipeline.
See Background Checks In Action
Order and track pre-hire background checks end to end — FCRA disclosure and authorization, package selection, manual or automated adjudication, and automated pre-adverse and final adverse-action notices, all captured in an append-only audit log.
What Background Checks Helps You Do
Order Checks From Candidates
Order the packages your provider account offers (criminal, employment, education, drug screening where your provider sells it) from the candidate's record, with the FCRA disclosure email and team notifications built in.
Watch Live Status
See where every check sits — sent, consent pending, in progress, completed, adjudicated — without logging into the provider portal.
See Adjudication Detail
Consider and Suspended results go to a Needs Review queue for a recorded decision with notes; clear results can be auto-approved per connection.
Track Compliance
FCRA pre-adverse and final adverse action notices with the waiting period between them, the disclosure date on every check, and each step in the recruiting audit log.
Multi-Provider Support
Connect more than one provider and choose the preferred one new orders go through; recruiters see every provider's checks in one queue.
Decisions Don't Stall
A Consider or Suspended result asks the people who decide, and a decision nobody has made yet is chased with reminders.
One App, Three Audiences
For Recruiters
Order, track, and act on background checks without leaving the hiring workflow.
- Order from the candidate record — package, provider, and consent flow in one screen.
- Status by candidate — every active check across the pipeline with stuck-stage flags.
- Awaiting Results — every check not back yet, one click from the dashboard tile.
- Re-order or escalate — provider hold-ups handled without re-keying everything.
For HR & Compliance
Decisions, FCRA workflows, and audit-ready records.
- Decisions — auto-approve clear results per provider connection; Consider and Suspended always go to a person.
- FCRA workflow — pre-adverse and adverse action sequencing with required wait periods.
- Disclosure tracking — the FCRA disclosure date on every check, and the candidate's authorization for Checkr invitations.
- Audit log — every order, decision, notice and dispute recorded with who and when.
For Candidates
A clean, transparent experience for the consent and dispute flow.
- Authorization from any device — the provider's authorization form opens from the invitation email or the candidate portal.
- Status updates — clear visibility into where their check sits.
- Dispute workflow — if a hit is contested, the dispute path is built in per FCRA.
How A Check Moves Through The System
Background Checks In Practice
A practical scope check: what the app covers, which controls matter, and the workflows teams usually run first.
Core workflow
Order and track background checks for candidates directly within the recruiting workflow.
Controls that matter
Compliance (FCRA) includes FCRA disclosure tracking (sent + authorization received) and Auto-send FCRA disclosure & authorization (admin-configurable).
Scope and specs
Useful specs: Results list page size: 25 (desktop) / 20 (mobile); Agent query limit: 50 checks per request; FCRA waiting period: 1–30 business days, default 5 (admin-configurable).
Pre-offer verification
A recruiter initiates a background check after the final interview so results are ready before the offer letter is sent.
Bulk hiring compliance
During a seasonal hiring push, HR orders each candidate's check from their record and tracks every open check in one list.
Pending check follow-up
A hiring coordinator reviews the pending queue each morning to escalate checks that have been in progress for more than five business days.
Connected To The Rest Of MangoApps
← Job Board
A recruiter orders the check from the candidate's record at the stage your process sets.
← Interview Hub
A recruiter orders the check from the candidate's record at the stage your process sets — after the interviews, before provider spend.
→ Onboarding
An onboarding plan's Background Check tab shows the candidate's check and can order one through the same provider connection.
REPLACES POINT TOOLS
One background-check layer in place of the multi-vendor portal hunt
Most recruiting teams keep a Checkr login, a Sterling login and a HireRight account — each with its own portal, status format, and adjudication UI. Background Checks retires that — and puts every provider in one workflow tied to the offer pipeline.
Checkr
Modern background check provider
- Checkr is a provider — Background Checks orchestrates Checkr alongside Sterling and HireRight in one workflow
- Status, adjudication detail, and compliance docs live next to the offer letter and candidate record — no portal hop
- No licence and no MangoApps per-check charge — Checkr bills its checks as before, and the workflow around them costs nothing extra
Sterling
Enterprise background check provider
- Connect Sterling and Checkr side by side and choose which one new orders go through — one UI, one record
- Adjudication workflow runs inside the recruiting pipeline — not a Sterling status email
- Background Checks AI answers "where's the candidate at?" using live data from whichever provider ran the check
HireRight
Enterprise background screening
- Independent of HireRight's portal — your recruiters work in MangoApps, not yet another vendor UI
- FCRA notices, the waiting period and disputes run on the check itself — not in HireRight's reports
- Every provider's open checks sit in one queue instead of three vendor consoles
PLATFORM ADVANTAGE
Background Checks inherits everything else MangoApps already does
A point background-check tool has to build, buy, or integrate each of these. Background Checks gets them for free because the platform already runs them.
Identity & SSO
Recruiters order checks with the same SSO as the rest of the platform. No separate Checkr or Sterling login per recruiter.
ATS-driven check ordering
Order a check directly from the candidate record in Job Board — pre-filled with candidate name, role, and required check package.
Language support
AI translation covers posts, messages and documents in 39 languages, and the web interface is available in English, Spanish and Chinese where the organization turns on web translation.
Audit history
Every check order and status change is recorded with who did it and when, in the recruiting audit log.
Mobile app & candidate portal
Recruiting staff work the list and the Needs Review queue on the phone, and candidates see where their check stands in the candidate portal.
Notices & reminders
A returned report notifies the recruiting team, a Consider or Suspended result asks the people who decide, and a decision nobody has made is chased.
INDUSTRY FIT
Built for the industries where background checks are mission-critical
Background Checks is the orchestration layer for organizations whose hiring volume and compliance requirements demand multiple providers and consistent adjudication.
Retail
High-volume store hiring with the package chosen per order — basic checks for associates, deeper checks for managers, all in one workflow.
Healthcare
Clinical hires with credential verification, OIG/SAM exclusion checks, and license confirmation — captured in one adjudication trail per role.
Financial Services
Regulated-role hires with FINRA-compliant background packages, credit checks, and adjudication documentation suited to regulator review.
Transportation
The MVR and drug-screening packages your provider sells, ordered from the driver's candidate record — with every decision and notice on the check.
Public Sector
Classification-based check packages, fingerprint-supplemented checks where required, and documentation that meets agency hiring standards.
Hospitality
Property-level hiring with the package chosen per role (housekeeping vs cash handler) from your provider's list.
WHY MANGOAPPS WINS
One platform beats a stack of point solutions on every axis
The argument finance, security, IT, and HR all share — and the one a background-check point tool structurally cannot answer.
Cheaper than the stack
No licence and no MangoApps per-check charge — your provider bills each check as before, and the ATS integration and FCRA workflow come with it.
More secure
Candidate PII, consent docs, and adjudication notes live behind the same identity perimeter as every other HR module.
Easier to deploy
Already deployed if you have MangoApps. Connect your provider, pick a default package, and order your first check the same week.
Easier to use
Recruiters order, monitor, and adjudicate checks from inside the candidate record — not three vendor portals open in three tabs.
Easier to manage
One admin surface for vendor credentials, the default package, and the auto-approve setting — not three vendor consoles with different UX.
Easier to extend
A Reject starts the FCRA notices, a dispute holds the final one, and a decision nobody has made is chased — all on the check's own record.
AI is actually better
Background Checks AI answers "which checks need a decision?" and "what's our average time to complete this quarter?" using live multi-vendor data, governed by the same permission model.
Ask Questions With Background Checks AI
Background Checks has a paired AI agent for status, decisions and the FCRA pipeline — same records, same permissions as the app.

Frequently Asked Questions
Checkr, Sterling and HireRight, with the packages your provider account offers (criminal, employment, education, drug screening where your provider sells it). Credentials are stored on the provider connection, and every order and status change is recorded in the recruiting audit log.
Yes. Connect more than one provider and choose the preferred one new orders go through; recruiters see every provider's checks in one queue.
The FCRA disclosure and authorization email can go out when a check is ordered, and its date is recorded. Pre-adverse and final adverse action notices are sequenced with a waiting period of 1–30 business days (default 5), and a candidate dispute holds the final notice. Every decision, notice and dispute is recorded in the recruiting audit log on the check.
Consider and Suspended results go to a Needs Review queue for a recorded decision with notes; clear results can be auto-approved per connection. A Reject starts the FCRA pre-adverse/final notice sequence.
Every check not back yet is listed under Awaiting Results. Sync Status asks the provider for the latest now, and with Checkr, Resend authorization email reaches a candidate who hasn't completed the invitation. Pending checks are also polled every 6 hours for up to 90 days.
Each check keeps the provider's result and its adverse items, with SSN, date of birth and licence numbers masked in the results view. Every decision, notice and dispute is recorded in the recruiting audit log on the check, behind the same access rules as the app.
The agent provides multi-vendor status visibility, decisions where you may see them, FCRA pipeline stages and summary metrics — all in Ask AI with the same permissions as the app. See the agent page for the full capability list.
