Cert Expirations Get Caught Early
The always-on monitor for credential lapses: it alerts when certs near expiry (30 days ahead by default), flags missing required certs to managers once on, and sends a weekly gap report.
HOW IT WORKS
How it stays ahead of a cert expiration
From detected expiration to reminded-and-tracked — using the same cert catalog and the certification requirements you already define in Safety Hub. It works the queue before the cert lapses.
1. Detect
A cert is inside your expiry-alert window (or lapsed in the last 14 days), or an employee lacks a certification their role requires in Safety Hub. The loop reads the signal before L&D has to look.
2. Decide
Ranks each expiry alert by how soon the cert lapses, and checks employees against the certification requirements defined in Safety Hub. Certs already covered by Safety Hub reminders are skipped.
3. Act
Sends expiry alerts, role-gap notices (off until you turn them on; they go to managers and admins), and sends managers a weekly skills gap report, to the recipients your notification settings choose, with expiry alerts and gap analysis each behind its own switch in the app's automation settings — automatically when trust is high, queued for L&D sign-off when the level is lower.
4. Log
Every action the loop takes is listed in the console's activity feed with what it did, the record it acted on, and when.
AUTONOMY YOU CONTROL
Three levels of autonomy. You pick.
Start with it off — it takes no action until you say so. Move to approve for a one-tap checkpoint on every action. Let it run on its own when you're ready.
Off — manual only
The loop sends and proposes nothing. The app's own expiry alerts still go out when they are on in Skills settings, and L&D checks gaps in the Skills & Credentials app.
Approve
It queues each expiry alert, role-gap notice and gap report for a one-tap send by L&D. The pending queue is your weekly standup.
Auto
It sends the expiry alerts and weekly gap reports, and role-gap notices once they are on, automatically.
Everything the loop does shows in one activity feed
Each expiry alert, role-gap notice, and weekly skills gap report the loop sends is listed in the console's "What the AI handled" feed with a description of what it did, the record it acted on, a "Done by AI" badge, and how long ago it ran.
- Expiry alerts ahead of a lapse, to the recipients you choose in notification settings, with a lead time you set.
- Role-gap notices — off by default; once turned on in notification settings, managers and admins hear about employees missing a required certification.
- Weekly skills gap report to managers, sent on Mondays.
- "Done by AI" badge on every completed action in the feed.
One console — L&D's home for renewal autopilot
The AI Skills Tracker console is the buyer-facing landing for L&D and compliance teams. Certs-expiring count (next 90 days) sits front and center with a 30-day trend line. The "What the AI handled" feed shows the most recent actions across employees. The "AI actions to approve" list surfaces alerts waiting for sign-off.
- Hero metric + trend — certs expiring in the next 90 days, with the number issued in the last 30 days beside it.
- "What the AI handled" feed — the most recent expiry alerts, role-gap notices, and gap reports.
- "AI actions to approve" list — alerts waiting for sign-off, approved or rejected inline.
- Autonomy dial — flip the loop from off → approve → auto without leaving the console.
Why Skill And Cert Data Goes Stale
AI Skills Tracker attacks the specific failures that turn skill inventories into a once-a-year spreadsheet that nobody trusts.
Certifications Lapse Quietly And Surface At Audit
OSHA 10. Forklift. First Aid. The certificate expired three weeks ago — but nobody noticed, because nobody pulled the renewal report this month. The conversation only happens when the auditor asks, by which point the employee has been working out of compliance.
Employees Don't Know Their Own Skill Inventory
"What skills do I have on file?" "What level am I rated at?" Without a fast self-view, employees discover their own profile during performance reviews or when they apply for an internal role — way too late to fix gaps proactively.
"Who's Certified For X?" Requires Running A Report
Operations needs a forklift driver on the night shift. The schedule has a gap. Finding the five certified employees across three buildings should take 10 seconds, but it takes 45 minutes because the lookup lives in a report no front-line manager runs.
Skill Gaps Stay Invisible Until It's Promotion Time
The role requires SQL Level 2 and a CSPO certification. The employee is at SQL Level 1 with no CSPO. Both could've been closed in six months — but nobody compared their profile to the role's actual requirements until the promotion conversation happened.
Manager-Required Certifications Aren't Tied To Manager Onboarding
The new shift lead transferred in last Monday. The role requires de-escalation training and a food-handler permit. Nobody flagged the gap because their previous role had different requirements, and three weeks in, the new lead is running a shift they're not certified to run.
Reimbursable Certifications Get Renewed Out Of Pocket
The company reimburses the renewal fee but employees don't know that — so they pay themselves, skip submitting the receipt, and the L&D budget shows underused while employees grumble about out-of-pocket compliance costs. The policy is right; the surfacing isn't.
AI Skills Tracker At A Glance
Skills & Credentials AI
Profiles, expirations, role gaps, find-by-skill.
Inside AI Skills Tracker — The Actual Capabilities
Every block below maps to a real tool the agent uses against your Skills & Credentials data. Thirteen read tools — personal skills, certifications, expirations, role requirements, gap analysis, renewal requirements, find-by-skill searches, team building, and the review queues — plus eleven actions, each behind a confirmation. Employees can add a skill to their own record or record a renewal, which goes to a verifier; the rest are for authorized managers and admins.
Your Skills And Certifications — In One Prompt
Employees ask "what skills do I have on file?" and "which certifications are valid right now?" The agent surfaces the user's own skill profile with proficiency levels and verification status, plus full certification list with status and expiration dates.
view_my_skills— skills with proficiency levels (1-5) and verification status.view_my_certifications— certifications with status, issue date, expiration date.- Self-service first — employees see their own inventory without going to a manager.
- Verification status visible — distinguishes verified from self-reported skills.
Expiring Certifications — Proactive Renewal Window
The agent answers "what's expiring in the next 90 days?" and "what does the renewal require?" Compliance becomes a daily conversation rather than a quarterly fire drill. The lookahead window is configurable, so safety teams can run tighter cycles than HR.
view_expiring_certifications— certifications expiring within a window you can ask for (by default your expiry-alert lead time — 30 days unless an admin changes it).get_certification_renewal_requirements— renewal deadlines and what's required to renew (course, exam, hours).- Expired first — already-expired certifications are reported before those inside the window, and certifications with no expiry date are named too, so urgency is visible.
- Your own record — it reads the asker's own certifications; finding who holds a certification across a team is
search_certified_employees, for people allowed to view team credentials.
Role Gap Analysis — Required vs. Have
Employees ask "what does my current role require?" and "where am I short?" The agent compares the user's current skills and certifications against the role's defined requirements and flags gaps with the level delta — a clear starting point for Training courses and Skill Swap mentors.
view_role_requirements— full list of skills and certifications required for the user's current role.get_my_skill_gap_analysis— required vs. current, with level deltas and missing certifications surfaced.- Ready for a Training follow-up — the gap list is what you take to the Training Agent for course matching.
- Ready for a Skill Swap follow-up — the same list tells you which skills to look for a mentor in.
Find Employees By Skill Or Certification — Across The Org
Operations needs a forklift driver. Engineering needs someone certified in AWS Solutions Architect. The agent returns a list of matching employees with verification status and (for skills) minimum proficiency filter — turning a 45-minute report run into a chat query.
search_certified_employees— find employees with a specific certification, optional verified-only filter.search_skilled_employees— find employees with a specific skill at minimum proficiency level (1-5).- Permission-aware results — only returns employees within the user's allowed visibility.
- Verification visible — distinguishes verified holders from self-reported ones.
Outcomes Teams Can Measure
The agent's job is to keep skill and cert data fresh and findable — without adding work to HR or operations. Measure against your pre-agent baseline.
- Expired-while-active rate — share of employees with an expired required certification still on the schedule (the audit-risk metric).
- Renewal lead time — average days between expiration warning and completed renewal — higher is better, means people aren't last-minute.
- Profile completeness — share of employees with skills + certifications populated and verified.
- Find-by-skill query volume — operational use of the agent vs. running reports manually.
- Pre-promotion gap closure rate — share of identified role gaps closed before the promotion / role-change conversation.
Employees Change Only Their Own Record · Every Change Asks First
For an employee, AI Skills Tracker reads profiles, expirations, role requirements and gaps, and can add a skill to their own record or record a renewal of their own credential — which goes to a verifier for review. People your organization authorizes can also assign or remove a skill, verify or reject a pending submission, mark a certification bonus processed, accept or reject an AI-suggested skill, and restore or remove a skill someone marked Not mine — each asks for confirmation first. The agent has no tool that edits a role's requirements.
- Employees change only their own record — adding a skill or recording a renewal goes to a verifier for review. Assigning or removing a skill is offered to managers allowed to manage team credentials, verifying or rejecting a submission to people allowed to verify credentials, and marking a bonus processed to Skills admins, each behind a confirmation. No role-requirement edits through chat.
- Permission-aware — profiles, expirations, and find-by-skill results respect the user's allowed visibility.
- Verification is a confirmed action — verifying or rejecting a submission asks the reviewer to confirm first, and the employee is notified.
- Every tool call logged — each call records the requesting user and which tool ran (AI request detail is kept 30 days).
WHAT TEAMS TRY INSTEAD
The four alternatives — and none of them know who's certified, who's expiring, and who's covered
Skills and certification visibility usually lives in three different places — an HRIS field, an LMS export, and a manager's spreadsheet. None of the alternatives reconcile them, and none can answer "do we have someone certified for this shift right now?" in one query.
ChatGPT, Claude, or Copilot summarizing exported spreadsheets
Generic AI on stale CSVs
- Skills & Credentials Agent sees the live skill profile and verification status — not a Monday-morning export
- Expiration lookahead that follows your organization's alert lead time (30 days unless you change it) — generic AI has zero awareness of which cert lapses next week
- find-by-skill returns coworkers honored by the existing visibility rules — generic AI returns whoever happens to be in the spreadsheet
Skilljar AI, Degreed AI, Cornerstone Skills Cloud AI
Vendor skills cloud — separate SaaS, separate roster
- Reads role requirements and training completion alongside skills — vendor clouds see only what was imported
- One identity and role model; vendor clouds need a parallel SSO + entitlement sync that drifts the day someone changes role
- Frontline employees who never got a Degreed seat are first-class users — they live in the same app as everyone else
Custom skills graph + RAG layer
A people-analytics team's six-month build, then forever maintenance
- Already shipped — profile schema, verification model, role requirements, and gap analysis in place
- Inherits per-business renewal lookahead and visibility rules with no extra plumbing
- New tools (a new role requirement, a new compliance lookahead window) land via the agentic framework, not a rewrite
"Pull the cert spreadsheet from the LMS"
The manual fallback — quarterly compliance reports
- "Do we have a forklift-certified employee on Tuesday's swing shift?" in seconds, not a Monday report run
- Surfaces expiring certs at the renewal threshold; manual reviews only catch lapses after they happen
- Gap analysis runs role-by-role across the org without a people analyst building pivot tables
PLATFORM ADVANTAGE
Skills & Credentials Agent inherits everything the platform already runs
A standalone skills cloud has to plumb each of these. The agent gets them for free.
Verified vs self-declared distinction
The profile knows the difference between a verified skill and a self-declared one — and the agent changes verification status only when someone allowed to verify credentials confirms a decision.
Role requirements as ground truth
Gap analysis isn't "what skills are listed in your job description PDF" — it's the certification requirements your team defines in Safety Hub.
Training completion cross-ref
When a cert is expiring, the agent can also surface "the renewal course is in Training, 2 hours long, last completed 2 years ago".
Permission-aware reads
Employees see their own record; managers and admins can look up who holds a credential and when it expires — the agent applies the same visibility rules as the app.
Lookahead follows your alert lead time
The renewal window is per-business — the agent looks as far ahead as your expiry-alert lead time (30 days unless an admin changes it), and anyone can ask for a shorter or longer window in the question.
Automatic model tiering
The platform assigns each agent one model tier suited to its work — set for the agent, not picked per question.
INDUSTRY FIT
Industries where skill and cert visibility moves the most weight
Skills & Credentials Agent shines where credentials gate shift assignment, OSHA filings, and clinical privileges.
Healthcare
BLS, ACLS, RN license, and unit-specific privileges all surface with expiration dates — no traveler nurse working a shift past their cert window.
Manufacturing
Forklift, lockout-tagout, confined-space, and pressure-vessel certs visible per shift — OSHA reportables drop because non-certified operators don't get assigned.
Construction & Trades
Trade licenses, fall-protection, and equipment certs map to crew assignments — supers staff jobs from a live cert roster, not a binder.
Financial Services
Series 6/7/63, CFP, CPA, and CE-credit hours visible per advisor — compliance dashboards reflect today's state, not last quarter's.
Public Sector
First-responder certs, CDLs, and continuing-ed hours tracked at the dispatch level — assignments respect cert expirations automatically.
Retail
Alcohol-server, food-handler, and brand-specific certs visible per store — district managers see the cert gaps before the health inspector does.
WHY MANGOAPPS WINS
An embedded skills agent beats a spreadsheet, a vendor cloud, or a custom build on every axis
The argument HR, compliance, IT, and ops all share — and the one a horizontal AI or a vendor skills cloud structurally cannot answer.
Cheaper than the alternatives
No Degreed/Cornerstone seat fee, no Skilljar AI add-on, no custom skills-graph build — and no compliance weeks lost to quarterly report runs.
More secure
Employees change only their own record, and what they add goes to a verifier — changes to anyone else's are offered only to authorized managers and admins, every change behind a confirmation, every tool call logged, every visibility rule from Skills & Credentials honored. AI requests go to the platform's configured model providers, like every MangoApps agent.
Easier to deploy
Already deployed if Skills & Credentials is enabled. Turn the agent on, set the renewal lookahead, and gap analysis works the same day.
Easier to use
"Show me my expiring certs" / "who's certified for forklift on swing shift" — one prompt, no LMS export, no spreadsheet pivot.
Easier to manage
Per-business renewal windows, role requirements, and visibility rules sit in the same admin console as every other app's settings.
Easier to extend
New compliance signals (a new cert category, a new role requirement) ship as tools — the agent picks them up the same release.
AI is actually better
A vendor or generic AI can answer "who has cert X". Skills & Credentials Agent also sees verification status, role-fit gaps, and training history — and answers "who's certified, role-fit, and available for Tuesday's swing shift".

Frequently Asked Questions About AI Skills Tracker
24 tools. Thirteen read — view your skills with proficiency, view your certifications, view expiring certifications (configurable lookahead), view your role's required skills, run a skill gap analysis, get renewal requirements for a specific certification, search certified employees, search skilled employees with a minimum proficiency filter, view a named employee's skills, build a project team, and list pending submissions, the bonus queue, and AI-suggested skills. Eleven act, each after a confirmation — an employee can add a skill to their own record or record a renewal of their own credential, both of which go to a verifier; authorized managers and admins can assign or remove a skill, verify or reject a submission, mark a bonus processed, accept or reject an AI-suggested skill, and restore or remove a skill someone marked Not mine.
On your own record, yes: an employee can ask it to add a skill from the catalog to their record or to record a renewal, and either goes to a verifier for review (a new certification needs its document, which is attached on My Skills). A manager allowed to manage team credentials can ask the agent to assign a skill to an employee, and someone allowed to verify credentials can ask it to verify or reject a pending submission. Each asks for confirmation before anything changes.
view_expiring_certifications accepts a days parameter; without one it looks as far ahead as your organization's expiry-alert lead time (30 days unless an admin changes it). Ask for a different window in the question — "what's expiring in the next 90 days?". It reads the asker's own certifications and reports already-expired ones first, then those inside the window, then any with no expiry date.
get_my_skill_gap_analysis compares the user's view_my_skills output against view_role_requirements for their current role. Gaps are returned with the level delta (e.g. "SQL: required L2, you're L1") and missing certifications are surfaced separately. The output is what feeds clean training and mentor recommendations.
Expired-while-active rate (the audit-risk metric), renewal lead time (proactive vs. last-minute), profile completeness, find-by-skill query volume, and pre-promotion gap closure rate. Compare against your pre-agent baseline.
